ThePrintHQ is a direct-mail platform operated by Yellow Letter HQ, LLC DBA ThePrintHQ ("we", "us"). This policy explains what information we collect when you use the ThePrintHQ website, dashboard, API and our app inside Canva (together, the "Service"), how we use it, and the choices you have. By using the Service you agree to this policy and to our Terms of Service.
1. Information we collect
- Account information: your email address, name and password (stored only as a one-way hash), and the verification codes we email you.
- Sender details: the company name and return addresses you add for your mail pieces.
- Mailing lists: the recipient names, postal addresses and any other columns you upload or send through the API.
- Designs and templates: files you upload, designs you bring in from Canva, and the position and styling of the fields you place on them.
- Orders and billing: order details, proofs, and your prepaid balance and top-ups. Card payments are handled by Stripe; we never receive or store your full card number.
- API and webhooks: the API keys you create and the webhook endpoints you configure.
- Website forms: the email address, and for a message also your name, business type and message, that you enter when you join our waitlist or contact us on our website.
- Technical information: IP address, browser details and request logs, used to keep the Service secure and working. We use your browser's storage to keep you signed in and remember your preferences. We do not use advertising cookies or third-party analytics.
2. Information from Canva
If you connect your Canva account, you authorize ThePrintHQ through Canva's own sign-in. We then receive your Canva user ID and access tokens, which we store encrypted. We ask Canva for permission to read and write the content of your designs and to read design details (such as titles). With that access we:
- create a Canva design from your ThePrintHQ template and open it for you to edit;
- export that design when you return to ThePrintHQ, and save the exported file as your template's artwork. To remove our placeholder boxes before saving, we may create a temporary copy of the design in your Canva account;
- list the titles and thumbnails of your designs, only when you open "Import from Canva" to choose one.
The ThePrintHQ app inside Canva adds placeholder fields (such as the recipient address) to the design you opened from ThePrintHQ, reads their position and text style (font, size, color), and saves them to your template. It keeps a small record of those styles in your browser.
We use Canva data only to provide these features. We do not sell it, share it for advertising, or use it to train AI models. You can disconnect at any time by removing ThePrintHQ from the connected apps in your Canva account settings, or by asking us to delete the connection, which deletes the tokens we hold.
3. How we use information
- to provide the Service: validating and standardizing addresses, generating proofs, printing and mailing your pieces, and tracking delivery;
- to process top-ups and keep billing records;
- to send service emails, such as verification codes and order updates;
- to provide support and respond to your requests;
- if you joined our waitlist, to email you about our launch;
- to keep the Service secure, prevent fraud and abuse, and fix problems;
- to comply with legal obligations.
If we send you marketing emails, each one will include a way to opt out.
4. How we share information
We do not sell personal information. We share it only with the service providers that help us run the Service, and only as needed for that:
- Amazon Web Services, for hosting and file storage;
- Stripe, for card payments;
- Resend, for sending email;
- HighLevel, the customer relationship tool that stores what you send through our website forms;
- AccuZip, for address validation, USPS change-of-address (NCOA) updates and presorting;
- the United States Postal Service, to deliver and track mail;
- Canva, if you choose to connect your Canva account.
We may also disclose information when the law requires it, to protect the rights and safety of our users or others, or as part of a merger or sale of our business, in which case this policy continues to apply.
5. Your mailing lists
You decide who receives your mail, and you are responsible for having the right to use the recipient information you upload. We process it only to provide the Service to you. Address processing may correct or update recipient addresses (for example, when a recipient has filed a USPS change of address). If a recipient contacts us about their information, we will refer them to you.
6. How long we keep information
We keep information while your account is open and as long as needed to fulfill orders, keep the business and tax records the law requires, resolve disputes and enforce our agreements. You can ask us to delete your account and data at any time (see section 8).
7. Security
We use encrypted connections (HTTPS), store passwords only as hashes, encrypt Canva access tokens, and limit access to the systems that hold your data. No system is perfectly secure, so we cannot guarantee absolute security, but we work to protect your information.
8. Your choices and rights
You can view and update your account details in the dashboard. You can also ask us to access, correct, export or delete the personal information we hold about you by emailing [email protected]. We will respond within 45 days.
California residents have the right to know what personal information we collect and how we use and share it, to request its deletion or correction, and not to be treated differently for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising.
9. Children
The Service is for businesses and adults. It is not directed to anyone under 18, and we do not knowingly collect their information.
10. Where information is processed
The Service is operated from the United States, and your information is stored and processed there.
11. Changes to this policy
We may update this policy. We will change the effective date above, and for significant changes we will notify you by email or in the dashboard before they take effect.
